Talent Coordinator

Reports to General Manager

The Role:

  • Outreach and research for talent in regards to all upcoming events and digital campaigns rang-ing from celebrity to digital influencers to ceos

  • Research and organize any talent asks by inputting bios or followings

  • Negotiate and coordinate all deals both monetary and in kind

  • Manage contracts/contract process and paperwork associated with procuring talent

  • Coordinate all talent travel, glam and accommodations (and rider requests) in lock step with project manager

  • Create and develop all talent ROS for on site down to the minute

  • Coordinate with editorial director on panel questions, organize all panel questions and send all panel questions to talent

  • Post event talent thank you notes and follow up

  • Talent gifting where necessary

  • Help research relevant talking points for talent

  • Send comprehensive ROS to all talent to ensure a smooth arrival and exit process

  • Work with PR team on coordinating any media interviews for talent on site

  • Manage on site talent arrivals and coordination

  • On site talent coordination at key events, running green room & arrivals

  • Green room POC --- green room is tidy and in good shape and talent ready

  • Work with stage manager on talent ETAs and wrangling pre - panel

  • Have kick off calls with talent to prep for panels if necessary

  • Manage talent invites to key invites including dinners, panels etc.

  • Organize and develop talent database (existing) with key information and details and status notes

  • Support on in kind brand partnership outreach from snacks to notebooks procuring partners for inclusion in gift bags etc.

  • On site production support where needed

  • Must have agency and talent relationships

Graphic Designer

Become an integral part of Create & Cultivate. You will join a tight-knit team of seasoned creators &  executives to help expand the brand’s physical & digital presence. Ability to work QUICKLY and CREATIVELY is ideal!

Reports to Sr. Director of Marketing

RESPONSIBILITIES

  • Create on-brand marketing collateral including but not limited to website and social designs, stage and environmental designs for events, newsletters, ads, packaging, product and more

  • Ability to create renderings for onsite production and events —- creative direction and ideation is great!

  • Animation and illustration are a huge plus!

  • Ability to create large scale files for events

  • Ability to manage multiple projects at once

  • Ability to create concepts and ideas on the fly for campaigns and events

  • Scene design abilities to mock up event renderings, decals and more

  • Create on-brand digital creative including but not limited to e-mails, instagram stories, instagram posts and social media assets

  • Ability to illustrate and typography is a plus!

  • Manage the brand content on the website including but not limited to homepages, landing pages and campaign pages / proficiency in Squarespace is a plus!

  • Support seasonal & campaign-based video and photo-shoots

  • Assist in image selection following shoots.

  • Assist with photo retouching and color corrections

  • Traffic images to internal & external stakeholders in a timely manner.

  • Maintain an accurate and current library of brand assets

QUALIFICATIONS

  • 4 years’ experience as a graphic designer at an agency , events or media company, or consumer-facing brand

  • Move quickly - work at a rapid past!

  • A solid creative portfolio that features typography work and creative branding projects.

  • Must have an exceptional design talent, including detailed sense of typography, photography, and design layout.

  • Highly proficient in Photoshop, Illustrator, and InDesign.

  • Excellent time management skills with the ability to multi-task and prioritize as needed.

  • Resourceful, can-do attitude that thrives in an entrepreneurial, fast-paced environment.

Event Producer


The event producer will be the lead for all production elements within the company and manage a multitude of events both big and small. We are looking for a bad ass event expert who carries around measuring tape with them at all times and can negotiate the hell out of a vendor contract, is that you? Keep reading!

Reports to Director of Production

Role:

  • Oversee and manage all sponsor production related events and activations ranging from small scale influencer dinners to our large scale conferences

  • Manage event insurance needs ranging from COIs from partners and vendors to our own needs

  • Familiarity with permitting

  • Ability to Design and create renderings a plus!

  • Knowledge of Sketch up a plus!

  • Ability to negotiate best rates with key vendors

  • knowledge of producing events cross country and from small scale to large scale

  • Managing budgets - understanding the landscape of costs and ensuring we are staying within budget realm

  • Managing 4-5 events at a time and being able to multi task and keep things organized  

  • Excellent communication skills and email acumen

  • Pure Event Production (nationwide and beyond!)  and loving getting your hands dirty!

    • Sourcing Vendors (AV, Floral, Catering, Staffing)

Account Manager

We are looking for an Account Manager to create long-term, trusting relationships with our clients. The Account Manager’s role is to oversee a portfolio of assigned clients, develop new business from existing clients.

This candidate is Ideally someone who can manage accounts and sponsors and understands the digital #spon landscape and the knitty gritty of production on site. Account management responsibilities include developing strong relationships with clients, connecting with key business executives and stakeholders and preparing reports. Account Managers also answer client queries and identify new business opportunities among existing clients. In this role, you will liaise with cross-functional internal teams (including Marketing, Production and Editorial) to improve the entire client experience. This position may require occasional travel.

Account Director


We are looking for an Account Director to create long-term, trusting and strategic relationships with our clients. The Account Director’s role is to oversee a portfolio of assigned high-caliber brands/sponsors from pitch to post-sale, seamlessly project managing the clients and working with in-house teams to ensure flawless execution against deliverables. Candidate must be a pro at client support, communication, and implementation of highly custom programs. 

Account Management (Post-Sale) responsibilities will include: leading client calls, providing timelines, setting expectations with clients, routing deliverables and feedback, attending events, reporting, and overall ensuring a smooth client experience, while developing and nurturing strong relationships with key stakeholders.The ideal candidate has agency experience with a proven track record of managing a high volume of accounts/sponsors in the experiential and media landscape. They should understands the digital #spon landscape and feel just as comfortable putting deal points on paper as they do overseeing how the partnership is executed on-site. In this role, you will liaise with cross-functional internal teams (including Marketing, Production and Editorial) to improve the entire client experience. This position may require occasional travel.

  • Liaise with cross-functional internal teams (including Marketing, Production and Editorial) to improve the entire client experience 

  • Ideate new solutions and approaches to processes and protocol as a senior leader 

  • Communicate and manage up to CEO on-going progress and initiatives

The details:

  • 5-7 years experience 

  • Agency experience required, media/experiential a plus

  • Ability to manage up - this is a senior leadership position with a direct report to CEO

  • Ability to deal with issue escalation to ensure satisfaction of clients

  • Experience tracking billing and payables 

  • Excellent pitch skills and ability to lead calls
